Processing is based on participants' consent as well as the legitimate interest of the organization in ensuring the proper conduct of the event.

This data is not used for direct identification purposes except in cases of abuse or legal obligation.

For minor participants, data is provided under the responsibility of the legal representative.

1. Data Collection

We collect the following information during your registration:

  • First and Last Name
  • Birth Date
  • Gender
  • Club (optional)
  • Team/Company (optional)
  • SSS Section (optional)
  • Membership in a club, team or SSS section (optional)
  • Email Address
  • IP address (collected for security and anti-spam)

2. Use of Data

Your personal data is used to:

  • Manage your registration for the event
  • Assign you a cap number
  • Calculate your distances covered
  • Manage your participation in groups (club, team, SSS section)
  • Produce rankings, statistics and event reports
  • Send you important information regarding the event
  • Inform you about Section-only events and trainings (no marketing); you can disable these communications at any time from your profile (emails related to the 12h swim always remain active)
  • Ensure platform security, prevent and combat spam and abuse (IP logging)
  • Contact you if necessary

3. Public disclosure of results

As part of the sporting event, certain information may be made public on the platform or in event reports:

  • First and last name
  • Distance covered, number of crossings and ranking by category
  • Club, team or SSS section name where applicable
  • Age (including via the adult/child category)

Your email address and other contact details are not published. Your date of birth is not displayed, but your age may be indicated for sporting classification purposes. Aggregated anonymised statistics may be retained after your account is anonymised.

4. Data Protection

We are committed to protecting your personal data by:

  • Using appropriate security measures
  • Limiting access to data to authorized personnel
  • Not sharing your data with third parties without your consent
  • Your data (including your email) is not sold or shared with third parties, except where legally required
  • Data is stored in Switzerland

5. Data retention and account deletion

Your data is kept for as long as your account is useful for organising the 12-hour swimming event, and for a maximum of 2 years after your last activity on the platform.

Activity includes: logging in, resetting your password, registering, or having a crossing recorded during an edition. Each activity resets the 2-year period.

Voluntary deletion from your profile

When you request account deletion from your profile, your account is deactivated immediately: you can no longer log in. A 30-day grace period applies before your personal information is permanently erased. You receive a confirmation email stating the scheduled date of permanent deletion. During this period, an administrator can restore your account or delete it sooner. After this period, your personal data is anonymised; your swimming statistics (crossings, distances) may be kept anonymously for event reports.

Prolonged inactivity

If there is no activity on the platform for 2 years, your personal information is erased after the scheduled warnings. Swimming statistics (crossings, distances) are kept anonymously, without name or contact details, for event reports.

We notify you by email 30, 7 and 1 day before automatic deletion. You can also request erasure of your data at any time from your profile or by contacting us.

6. Your Rights

In accordance with the EU GDPR and the Swiss Federal Data Protection Act (FADP, in particular Art. 25 ff.), you have the following rights:

  • Right to access your data
  • Right to rectification
  • Right to erasure
  • Right to restriction of processing
  • Right to object to processing based on legitimate interest

7. Availability survey

During registration, an optional survey lets you indicate the time slots when you plan to come and swim (6 pm–6 am grid). Your choices are stored on your account. Organizers view aggregated results by time slot. Other registered swimmers also see an anonymous aggregated view, without access to participant names.

Optional cookies (audience measurement)

  • Matomo, an open-source analytics tool hosted on our own servers in Switzerland. Your IP address is anonymised and no data is shared with third parties.
